ORGANIZATION OVERVIEW
ElevateDD is a platform dedicated to statewide advocacy work created to represent the entire scope of services and programming offered through each of our communities: the Down Syndrome Association of Central Ohio (DSACO), Adult Literacy Ohio, and Learning Aid Ohio. The ElevateDD name represents what drives our advocacy, education, and innovation: elevating the voices of people with developmental disabilities, elevating the needs of families, and elevating advocacy issues to leaders and decision makers.
Our roots began with DSACO, which was created to support families, promote community involvement, and encourage opportunities for people with Down syndrome. As we continued to innovate and identify additional needs of those who we serve, we expanded programming to offer statewide developmental disability services. This growth resulted in the formation of two additional communities: Learning Aid Ohio and Adult Literacy Ohio. ElevateDD, through its various communities, now serves people with developmental disabilities and their families throughout every county in Ohio.
POSITION OVERVIEW
The Administrative & Operations Coordinator plays a critical role in supporting the daily operations and administrative functions of all ElevateDD communities, including DSACO, Adult Literacy Ohio, and Learning Aid Ohio. This position works closely with the President & CEO and collaborates across teams to ensure consistent, organized, and responsive administrative support.
The Administrative & Operations Coordinator frequently interacts with board members, committees, donors, volunteers, learners, families, and community partners. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining discretion and professionalism. This role supports cross-community coordination by maintaining shared systems, monitoring inboxes, and ensuring timely communication and follow-through.
PRIMARY RESPONSIBILITIES
Executive & Board Support
Provide administrative support to the President & CEO, including calendar management, email correspondence, expense reporting, and meeting coordination
Assist in preparing materials for Board and Committee meetings, including agendas, packets, compliance documentation, and collection of meeting minutes
Support board members, committees, volunteers, and stakeholders with clerical and administrative needs
Finance & Donor Support
Assist with mail processing, including opening mail, preparing deposits, and supporting banking-related tasks
Enter and track donations in organizational databases
Monitor and track employer matching gifts and third-party giving platforms (e.g., CyberGrants, Blackbaud, PayPal) and import data as needed
Draft, proofread, and format donor-related correspondence on behalf of ElevateDD and its communities, including acknowledgment letters, tax receipts, annual giving communications, and related donor stewardship material.
Support routine bookkeeping activities, including coding transactions, reconciling deposits, and coordinating with accounting staff or external bookkeepers as needed
Administrative Support & Office Operations
Provide administrative and operational support, including scheduling, document preparation, data entry, and administrative coordination across all ElevateDD communities.
Monitor and manage shared inboxes, including info@elevatedd.org and community-specific inboxes, responding to inquiries or routing requests to appropriate staff
Maintain, implement, and update office procedures to support efficient workflow across ElevateDD
Coordinate office operations, including IT requests, phone systems, and office equipment maintenance and leases
Ensure daily office functionality and a professional, organized work environment
Perform other duties as assigned in support of ElevateDD’s mission and operations

POSITION OVERVIEW
The Senior Finance Manager is responsible for leading ElevateDD’s financial management and supporting core operational systems across all ElevateDD communities. This role ensures sound financial stewardship, strong internal controls, and timely, accurate reporting to support decision-making, compliance, and long-term sustainability.
Reporting to the President & CEO, the Senior Finance Manager serves as a key thought partner on budgeting, forecasting, grant and contract compliance, and financial systems. While this role does not oversee all organizational operations, it works closely with leadership and shared-services staff to ensure financial processes align with organizational needs and growth.
PRIMARY RESPONSIBILITIES
Financial Management & Accounting
Lead day-to-day financial management, including budgeting, forecasting, monthly close, cash flow monitoring, and variance analysis
Manage grant, contract, and restricted fund compliance, ensuring accurate tracking and reporting
Coordinate annual audits and preparation of required financial schedules and documentation
Prepare clear, timely financial reports and dashboards for senior leadership and the Board
Systems, Controls, & Compliance
Maintain and strengthen financial policies, procedures, and internal controls
Ensure compliance with nonprofit accounting standards and funder requirements
Support improvements to financial systems and tools that increase accuracy and efficiency
Operations & Cross-Community Support
Partner with operations, advancement, and program staff to align financial processes with organizational workflows
Support procurement, vendor payments, and contract tracking in coordination with leadership
Provide financial guidance related to staffing, benefits, and organizational planning
Leadership & Collaboration
Supervise or coordinate finance-related staff and external vendors (e.g., bookkeeping, payroll, audit firms) as applicable
Serve as a trusted financial resource to staff across DSACO, Adult Literacy Ohio, and Learning Aid Ohio
Collaborate with the President & CEO and senior leadership to support strategic planning and long-term financial sustainability
QUALIFICATIONS
Passion for the mission and vision of ElevateDD
Bachelor’s degree in accounting, finance, or a related field, or equivalent combination of education and relevant professional experience
Successful completion of all necessary background checks and other pre-hire requirements as set forth by the organization and according to state and federal rules and regulations.
Ability to manage multiple projects simultaneously and meet deadlines.
Strong oral and written communication skills and the ability to work collaboratively with staff, community partners, vendors, and donors

Project Overview
ElevateDD is seeking an experienced consultant to oversee coordination of a multi-year, grant-funded initiative focused on family leadership, systems navigation, coalition-building, and community engagement for people with developmental disabilities across Ohio. This role will manage day-to-day project operations, ensure deliverables are met on time and within scope, and coordinate reporting and communication across internal staff, contractors, partners, and the Ohio Department of Developmental Disabilities (DODD). This work is funded by a grant from the Ohio Department of Developmental Disabilities through June 30, 2027.
Scope of Services
The Project Manager will be responsible for overall coordination and execution of the project, including but not limited to:
Overseeing daily implementation of all project components
Developing and maintaining project timelines, work plans, and deliverable tracking tools
Coordinating activities across ElevateDD staff, contractors, coalition partners, and consultants
Managing data collection processes related to surveys, training, workshops, and coalition engagement
Coordinating logistics for meetings, convenings, listening sessions, and the statewide leadership summit
Managing intake, tracking, and follow-up for 1:1 support requests received through the project website
Supporting accessibility compliance in coordination with ElevateDD’s Director of Communications
Tracking and documenting progress toward grant deliverables and performance metrics in coordination with ElevateDD’s Grants Manager
Preparing and submitting quarterly progress reports and contributing to the final comprehensive impact report
Participating in monthly collaboration meetings with DODD staff
Deliverables
Key deliverables include:
Project work plan and timeline
Ongoing tracking of deliverables, participation metrics, and outcomes
Quarterly progress reports
Documentation supporting surveys, listening sessions, trainings, and convenings
Final comprehensive impact report (in collaboration with ElevateDD leadership)
Qualifications
Demonstrated experience managing complex projects; experience working with nonprofits preferred
Strong organizational, documentation, and project tracking skills
Experience working with nonprofits, coalitions, or public systems preferred
Familiarity with community engagement, data collection, and reporting
Ability to manage multiple workstreams and deadlines simultaneously
Commitment to accessibility, equity, and inclusive community engagement
Professional or personal experience with developmental disabilities, advocacy, or family-centered systems preferred
Contractor Terms
This role will be engaged as an independent contractor. The selected contractor will be required to enter into ElevateDD’s standard Independent Contractor Agreement. All work products will be the property of ElevateDD.

Interview Process

ElevateDD has an expected budget for this work totaling approximately $50,000-$70,000, subject to final scope and negotiation. We will consider proposals that can fulfill the requirements within this range.
